๐Ÿ’ณ Subscription and billing

All billing for your workshops is managed from My account, at bolloprint.com/myaccount (your user menu โ†’ My account). There you can see your workshops, the status of each subscription and the button to manage it.

Inside the workshop (the app) there are no longer any payment screens: if there's a problem with the subscription, the workshop warns you and sends you to My account, which is where everything gets fixed.


What do I see in My account?

One card for each workshop you belong to, with its status and a button. For each workshop you'll see information such as:

If you are the owner of a workshop, you'll see the button to manage its subscription. If you're only a member (not the owner), instead of the button you'll see who the owner of that workshop is โ€” that's the person who can handle the payment.


The button changes depending on the situation

BolloPrint shows you the right button at each moment:

  • Manage subscription โ†’ opens the Polar portal (the payment system we use). From there you can change your card, view and download your invoices, change your billing details or cancel. It opens with your session already started, with no extra passwords.
  • Reactivate subscription โ†’ appears if you had scheduled the cancellation but it's still active. With one click you undo the cancellation and everything stays as it was.
  • Create subscription โ†’ appears if the workshop doesn't have an active subscription (because the previous one ended, or because the plan became a paid one). It takes you to sign up again on the same workshop, without losing anything you have inside.
  • Upgrade plan โ†’ appears if the workshop is on the free plan. It opens the plan picker so you can move to a paid one.
  • Change plan โ†’ appears next to Manage if the workshop already has a live subscription. It opens the same picker, to move up or down a plan, or to switch between monthly and annual.

If there's a pending payment, you'll also see a red alert. That alert stays in place until the payment is resolved, even if the workshop has already moved to the free plan.

The plan picker

It only shows the plans you can sign up for yourself, with the monthly / annual switch. Two things stand out, and they're deliberate:

  • The free plan isn't on the list. Moving down to the free plan isn't a purchase, it's canceling โ€” it's done from Manage โ†’ Polar portal.
  • Business does appear, but you can't sign up for it from here. It shows the price "Custom". When you pick it, the monthly / annual switch disappears and you'll see this notice: "Business is defined with you: we email you to agree on the plan, limits and price. Your current plan stays as it is and nothing is charged until you accept the proposal." The button becomes "Request a proposal"; when you click it you'll see "We'll email you to define your plan." (If you already asked a moment ago, you'll see "You already asked us for a proposal recently. We'll be in touch shortly.")

Below the buttons there's always the link "Need something tailored? Talk to us", in case what you're looking for doesn't fit the list or a proposal.

When you confirm a paid plan (Pro or Max), if your workshop already had a subscription the change is applied straight away and the difference is billed; if it didn't, we take you to the payment gateway.


The Business plan (custom)

Business has no public price: on the pricing page it shows as "Custom", with the "Request a proposal" button and the note "Start on Hobby and we'll get in touch to define your plan". We agree the plan, limits and price with you.

You can request it in two ways:

  • When creating a workshop. Pick Business on the pricing page (or in the plan step of the wizard). Instead of the trial you'll see the "How Business works" box:

    1. Today we create your workshop on the Hobby plan, free and with no card.
    2. Within 1โ€“2 business days we email you to define your plan, limits and price together.
    3. Nothing is charged until you accept a proposal.
    4. In the meantime you can use everything Hobby includes.

    The summary shows "Hobby today ยท Business custom" and "โ‚ฌ0 until you accept the proposal". Click "Create workshop and request a proposal": no card is requested and no trial starts.

  • From a workshop you already have. In My account, click Upgrade plan or Change plan, pick Business and click "Request a proposal". Only the workshop's owner can do this.

In both cases your current plan doesn't change while we talk: you keep what you had (Hobby if you've just created the workshop) until you accept a proposal. Requesting a proposal doesn't use up your workshop's free trial.


What language do the Polar portal and emails come in?

The Polar payment portal and the emails Polar sends you (receipts, invoices, payment notices) come in your language. We take it from the language you registered with and keep it up to date automatically: if you change the application's language inside your workshop, you don't have to do anything else โ€” the next time you open the portal or sign up, Polar's language adjusts automatically to your new language.

Note: Polar is rolling out its language system. The payment page already comes translated; some text in the portal or its emails may still appear in English. That's something on Polar's side that will keep improving; your language is already saved for when they complete it.


Trial period

Paid plans (Pro and Max) include a 30-day trial period with a card. Business has no trial: it's agreed with us (see "The Business plan (custom)" above). During the trial you have full access. If you cancel before it ends, you are not charged anything.

Each workshop gets its trial once. It doesn't matter whether it's your first workshop or your fifth, or whether you come from the free plan: the first time that workshop signs up for a paid plan, it gets its 30 days. What isn't repeated is the trial: if a workshop has already used it and signs up again later, it's charged from day one.

You can start on the free plan with complete peace of mind โ€” moving up to a paid plan later doesn't take the trial away from you.

When you sign up you choose the billing cycle: monthly or annual. The annual cycle is equivalent to paying for 11 months instead of 12 โ€” that is, one month free. You can change your cycle whenever you like from My account, with the Change plan button.


Multiple workshops on the same account

A person can have multiple workshops, and each workshop has its own subscription (its own plan, its own card and its own invoices). In My account you can see them all, each with its status and its button.

The trial also goes per workshop: a new workshop is a new business, so it gets its own 30 days.


What happens if a payment fails?

Your workshop isn't locked, and nothing is deleted. If a charge doesn't go through (expired card, insufficient funds), this is what happens:

  1. You keep working as normal. Our payment system retries the charge several times over about three weeks, and during all that time your workshop works in full. You'll only see an amber notice with a link to My account. You'll also receive emails: Polar's, warning that the card failed, and one from us reminding you where this leads if it isn't fixed.
  2. If in the end we can't collect the payment, your workshop moves to the free plan. It isn't locked and nothing is deleted: your orders, designs, customers and files stay exactly where they were. We let you know by email when it happens.

What changes on the free plan?

That plan's limits apply, with no grace period:

  • Storage โ€” if you're above what it includes, you won't be able to upload new files. The ones you already have aren't deleted.
  • API tokens โ€” they stop responding, so any integrations that depend on them stop.
  • Users, printers and connected marketplaces โ€” the free plan's quotas apply.

Getting back to your plan

From My account, with the Upgrade plan button, whenever you like. And if the pending charge ends up going through on its own, your workshop gets its plan back automatically and we let you know.

If you cancel on purpose, you end up in the same place: when the period you'd already paid for ends, the workshop moves to the free plan. Nothing is deleted there either.

If you have a special agreement or a one-off problem with the charge, write to us: we can keep your plan while we resolve it.


Who can manage the subscription?

Only the owner of the workshop manages its billing (changing the card, reactivating, creating a subscription, canceling), and always from My account. If you're a member but not the owner and you see a payment problem, in My account you'll see who the owner is so you can notify them.
